- PURPOSE
- THE FOLDER SYSTEM. There are two main parts parts:
-
- 1) THE FOLDER SYSTEM itself which is a method of keeping your documents
- in WordPerfect in file cabinets, file drawers and, finally, in file
- folders - just like you would do with paper copies of correspondence in
- an office. Files are kept by descriptive name, not short, usually,
- incomprehensible DOS file names like ZIPUGLUP.ZYT. Extensive help
- screens are available.

- 2) MAILLIST - a name, organization, address, telephone and FAX database
- sub-program that will print mailing labels directly on almost any
- dot-matrix printer, and, more importantly, generate MERGE files in both
- the WORDPERFECT merge and the ASCII [","] delimited formats. MAILLIST
- permits multiple lists of almost an indefinite number of address
- records. A variety of options are offered for listing, using and culling
- the records in each database file.

- 3) The only difference between the shareware version and the registered
- version initially (8/1991) are the two opening screens explaining the
- shareware concept. Subsequent updates will not necessarily be reflected
- in the shareware versions available on BBS and elsewhere.

- Perhaps these two little diagrams can help explain how the FOLDERS program
- keeps WordPerfect records for you. You may have up to 40 folders
- (sub-directories) in each drawer and any number of drawers (directories) in
- the file cabinet. You may have virtually unlimited numbers of Documents in
- each folder.

- In brief, the functions available from the Main Menu are:
- # - Enter number of existing document to be edited.
- [F] Folder Menu - Select existing or create new files/folders.
- [D] Delete file by number shown on screen. If necessary, use "PgDn" key
- until document description shows on screen, then press "D". You will be
- prompted for document number then asked to confirm.
- [C] Create a new document - enter description of the document. If a
- particular folder has been selected under "F" above, the document will
- be automatically assigned to that folder. If all folders have been
- selected, you may enter the name of an existing folder or start a new
- folder as you create a new document. If you are using a macro in
- conjunction with the document, you may enter the name of that macro as
- you create the new document - each time the document is loaded, macro
- will be loaded with it.
- [R] diRectories - select, create or name/rename directories to be used. On
- start-up the directory where THE FOLDER SYSTEM is located will be used
- as an Inititial Directory. This initial directory may be either renamed
- or deleted once any other directory has been started.
- F1-Help - These screens.
- Q (or "Esc") - Quit THE FOLDER SYSTEM.

- UTILITY MENU
- [T] Transfer a document within one folder to another in the same directory.
- [F3] Create Back-up files of documents. Make sure document appears on your
- screen before use. Separate help screens available.
- [F4] Restore backed-up files of documents. Make sure you are in the directory
- to which you wish to restore the document. Spearate help screens
- available.
- [F5] WordPerfect may be set to created automatically back-up files of an
- edited document with filename extension of ".BK!". These can occupy a
- great deal of disk space. Make sure the document you wish shows on
- your screen.
- [S] Select start-up options for WordPerfect, change starting command,
- restore default set-up (in case you get lost), and turn clock and
- screen blanking on/off.
- [N] Rename a document - Be sure the document to be rename appears on the
- screen, press "N", modify description and/or macro to be used (if any)
- and press enter. THIS WILL NOT MODIFY THE IDENTIFYING DESCRIPTION OF
- THE FILE CONTAINED IN THE DOCUMENT ITSELF.
- [M] A database supplemental program that creates databases for names,
- address, telephone numbers which may be used directly to create merge
- files, address labels, etc.
- [F1] These screens.
- [R] Return Main Menu

- SET-UP MENU
- OPTIONS - Merely by entering the number of the option listed on the screen
- you may select the WordPerfect command line option. Before selecting
- any option you are urged to read your WordPerfect manual to understand
- the uses of these options. Until you do, leave the optionset at "0".
- [C] Default is "WP", the normal command for WORDPERFECT. If a special
- "front-end" program is being used with WORDPERFECT, the COMMAND should
- be changed to correspond.
- [K] Turn on or off the clock running on the main menu. Off will also
- disable the screen blanking ("SLEEPING") mode. Turning off the clock
- may be necessary for some DOS or other shells. Leave on unless you have
- difficulties.
- [D] Restore defaults to the orginal settings just in case you get lost.
- [R] (or "Esc") - Saves changes and returns to MAIN MENU.

- FOLDER SELECTION MENU
- The FOLDERS function keeps track of the folders that you have created in
- the directory and permits you to create new or limit the display individual
- folder.
- [S] Select the number of the individual folder in the directory to be
- displayed. No other documents in any other folders will be displayed.
- [A] Display all documents in all folders in the directory.
- [C] Create a new file in a new folder. This is essentially a short cut
- method of starting a new folder - as always you must start a a new
- folder by creating a new document entry.
- [F1] This help screen
- [R] ("Esc") return to Main Menu.

- DIRECTORY MENU
- Any number of different directories are possible under THE FOLDER SYSTEM
- and this menu allows you to create, change the description (name), or
- delete the directory where you can keep where you can keep your WordPerfect
- files.

- [C] create a new directory - you must enter: _:\________\________.
- a) b) c)
- a) Enter letter of the hard disk drive to be used (normally "C" if
- you have only one hard disk drive without partioning.
- b) DOS directory in which to place the Folders Directory.
- c) DOS sub-directory in which to place the Folders Directory
- (optional). ("Esc" aborts the creation of a new directory but then
- you must select a directory to be used for document creation and/or
- retrieval.)
- [N] Name/Rename an existing Folders Directory. The name may be up to 20
- characters in length.
- [D] Delete Directory listing, but not related document files. May be used
- as a method of hiding document files. Recreate directory with same name
- and document listings will reappear. PgDn - Permits listing of
- additional directories. At end of listing, PgDn will return to
- beginning of the list. (Only appears on menu when more than 10
- directories have been created.)
- [F1]-help these help screens
- [R] (or "Esc") return to main menu.

- Restore a document file from special WPFBAKUP directory for use by THE
- FOLDER SYSTEM. Actual restoration of this special directory from floppy
- disks or tape to the hard disk must be done with the back-up software of
- your choice. CAREFUL - Restored files may over-write existing files.

- MAILLIST MAIN MENU
- This is the MAILLIST portion of THE FOLDER SYSTEM designed to work with
- your WordPerfect program. It will keep any number of records (information
- on individuals or companies) from which you can create directly address
- labels and, indirectly through the merge function of your word processing
- program, letters addressed to individuals by name and address, create and
- maintain telephone books, etc. Most of the elements controlled from this
- screen are self evident. The following need some explanation:
- [L] Labels - a simple program to print 3 1/2" x 15/16" labels on a
- dot-matrix printer. Selection by order (Name, ZIP/PostCode, Office Tel.
- or Home Tel.) is possible, and then by specific criteria (a ZIP code, a
- telephone area code, etc.).
- [M] Merge - permits creation of either ASCII or WordPerfect (4.2 thru 5.1)
- merge files from record.
- [O] Other - create/retrieve/delete new files (collection of individual
- records).
- [X] Reindex - The records maintained by MAILLIST are found by using indexes
- rather than by sorting of the records. This greatly accelerates the
- finding of individual or a series of records. Indexes sometimes, but
- rarely, get corrupted and must be recreated. In large files, this can
- take a great deal of time, so use the utility sparingly. NEVER
- INTERRUPT SINCE THE INDEXES WILL SURELY BE CORRUPTED. Read your manual
- in case of accidental interruption.
- [E] Export - Create ASCII disk file on contents. - See Manual.
- [I] Import - Bring into this file other records from a matching ASCII file.
- [R] (or "Esc" key) Return to THE FOLDER SYSTEM.
- [F1] This help screen - each screen has its own context sensitive help
- screen.

- Database files created by the MAILLIST portion of THE FOLDER SYSTEM will be
- in a special sub-directory called MAILLIST - for example, if The Folder
- System is install in directory C:\WP51, the database files will be in
- sub-directory C:\WP51\MAILLIST. These files are (using a database called
- PERSONAL MAILLING RECORD as an example):

- The program finds these files through the use of a small database called
- C:\WP51\NAMEFILE.DTA and its index C:\WP51\NAMEFILE.INX.

- FINDER MENU
- From this screen you may select a particular search method for the name
- records in your file. You select by:
- [N] Name - Find/Browse records for a particular record by name order
- starting, if you wish, at a particularly name by entering full last and
- first name information. Leave the Last Name and First Name fields blank
- to search company records without associated personal names.
- [O] Office Telephone Number - Find/Browse records starting at a particular
- area code or enter full telephone number (area code + number) to find a
- particular number.
- [H] Home Telephone Number - same as above but for home telephone numbers.
- [Z] ZIP or Postal Code - Find/Browse records at a particular ZIP/Postal
- Code number - entries with the same number will be listed alphabe-
- tically by name or company name. Enter ZIP and name information to find
- a particular record.
- [F] File Mark - Find/Browse records starting at designated file mark
- letter.
- [F1] this help screen.
- [R] (or"Esc" key) Return to Main Menu.

- SELECT MENU
- From this screen you may select a particular search method for the name

- BROWSE MENU
- This screen permits you to browse through the records in the database,
- select one for editing or deletion. The functions are:
- [PgDn] key on the cursor control pad - show the next record in sequence.
- The sequence is controlled by whatever you selected on the Finder
- Menu, i.e. name order, office telephone order, home telephone order,
- ZIP/Postal Code order, or File Mark order.
- [PgUp] key on the cursor control pad - show the previous record in
- sequence. The sequence is controlled by whatever you selected on the
- Finder Menu, i.e. name order, office telephone order, home telephone
- order, ZIP/Postal Code order, or File Mark order.
- [E] Edit any of the information on the screen. Once edited the program will
- return to the first record in the file.
- [D] Delete this one record entry. You wil be asked to confirm that
- you really wish to delete the entry.
- [F1] this help screen.
- [R] (or "Esc" key) Return to Main Menu.

- LIMIT MENU
- The output may be limited to a specific ZIP/Postal Code, an office or home
- telephone area code or a File Mark. This method of selection, for example,
- permits you to select all residents of Maryland by selecting the home area
- code of 301, or all resident of Bedford, PA by selecting ZIP/Postal Code
- 15522.

- If no limitation selection is desired, select ALL.

- MERGE MENU
-
- Two type of merge formats are available - ASCII (sometimes called Mail-
- Merge) and WordPerfect (4.2 thru 5.1). Many wordprocess programs use the
- ASCII format - even Word Perfect can use it. The Word Perfect format is
- particular to that program. In either case, a merge file will be created in
- a sub-directory call MERGE with same name as the datafile, i.e C:\WP51\
- MAILLIST\PERSONAL.DAT will create a merge file called C:\WP51\MERGE\
- PERSONAL.MRG. Each time you update the merge file a replacement for the
- C:\WP51\MERGE\PERSONAL.MRG will be written.

- Each merge format is a re-compilation of the data entered for each record
- for an output in the following style:

- OTHER FILES MENU
- From this screen you may:
- [A] Add an entire new series of name records,
- [D] Delete an existing series, or select by number a different one from the
- one you are currently using.

- For example, you may have several different name databases with different
- uses such BOB'S PERSONAL NAME FILE, ELBEE ENTERPRIZES' CUSTOMERS, CHURCH
- MEMBERS, BOY SCOUT TROOP NO. 99, etc. As you create new database files, the
- numbered list appearing on your screen in alphabetical order will grow
- until it reaches "9".

- If you have more than ten (0 thru 9) files, additional file listings may be
- obtained by pressing the "PgDn" key. The listing will cycle through all
- available until the end, then start recycling.

- Deletion of a database listing deletes not only the listing from The Folder
- System, but also the files of individual names and related index records.
- Prior to deletion a screen will appear showing the file to be deleted and
- the number of records in the file. You will asked to confirm your intention
- to delete at this point. USE WITH CARE.
